Frequently asked questions

Everything security companies usually want to know before they move. If your question is not here, just ask us.

Getting started

Most companies publish their first live rota within a day. We import your guards, clients and sites for you, set your pay and charge rates up on a call, and your guards onboard themselves through an invite link.

No, and we usually advise against it. Start with scheduling and attendance on one client, get your team comfortable, then bring the rest of your contracts and the finance side across. Nothing forces you to switch everything on day one.

Whatever you already have — a spreadsheet, an export from your current system, even a list in a document. Send it over and we will map it. You should not be retyping records you already hold.

Training is included and it does not take long. The planner works the way a rota works, so people who have built a rota before pick it up quickly. We stay available after go-live for the questions that only come up in real use.

The guard mobile app

Yes. It is free on iOS and Android for everyone on your account and it is included in your plan. Guards never pay anything.

If both companies use Secure360, the guard picks which company they are logging into. One app, one password, and each company only ever sees its own shifts and records.

The app keeps working. Clock-ins, scans and reports are captured with their real time and position, then sync as soon as the phone reconnects. A basement car park does not become a gap in your records.

No. Location is captured at the moments that matter — clocking in and out, scanning a checkpoint, filing a report — rather than running a constant background trace.

GPS, privacy and compliance

No, and this matters for both trust and data protection. Secure360 records a position at specific events, not continuously. Guards can see exactly what is recorded about them, which makes the conversation with your team a lot easier.

Yes. Personal data is handled in line with UK GDPR, access is controlled by role, and records can be exported or removed on request. We are happy to go through the detail with your data protection lead.

It does. Store SIA licences, right-to-work documents and training certificates against each guard, and Secure360 warns you before they expire — then stops that guard being scheduled once they have.

Yes. Permissions are set screen by screen. A scheduler can build rotas without ever seeing what a client is charged, while your finance team sees everything.

Payroll and invoicing

Automatically, and on both sides. Hours past the standard working day move onto the overtime multiplier on the payslip and on the client invoice — so you are not paying time and a half out of your own margin.

Yes. Rates can be set at company, client, site or position level, and the most specific one always wins. One awkward contract does not force you to restructure everything else.

Secure360 works out whether a shift falls mainly across the night window and applies the night rate itself. Nobody has to remember to tick a box at 4am.

No — it feeds it. Secure360 produces the timesheets, payslips and client invoices from real worked hours, and you can export the figures into whatever you use for your accounts and your payroll submission.

Pricing, data and support

By the number of active guards on your account. Every plan includes every module, the guard app and the client portal — there is no feature you have to upgrade to reach. See the pricing page.

No. Give access to as many of your clients as you like. Charging you for showing your customers their own data would be a strange way to run a business.

You do. You can export your records at any time, during or after your subscription.

UK-based support, included in every plan, answered by people who know the product rather than reading from a script. Details on the help and support page.

A great deal of it is already configurable — rates, site checks, patrol routes, permissions, notification rules. For anything genuinely specific to your operation, talk to us about it.
